How to Stop or Manage Post-Closing Automated Emails to Clients

After a transaction closes, automated emails may continue going to your client through FUB action plans. Here's how to stop them, adjust them, or verify what's sending.


Why Clients Get Emails After Closing

FUB action plans can continue running after a transaction closes. Common post-close sequences include:

  • Review request emails
  • Check-in emails (30 day, 6 month, 1 year)
  • Market update emails (if the client is on a saved search)
  • Sphere Nurture birthday or anniversary emails

Some of these are intentional and valuable. Others may be inappropriate for a specific client relationship. You control this.


How to Stop an Active Action Plan

  1. Open the client's contact record in FUB
  2. Click on Action Plans in the contact sidebar
  3. Find the active action plan(s) running on this contact
  4. Click Remove or Pause to stop the sequence

Removing the action plan stops all future steps. Steps already sent are not recalled.


How to Stop Market Update / Search Emails

If a past client is getting listing alert emails from a saved search you set up during the transaction:

  1. Open the client in the Super Portal
  2. Find their saved searches
  3. Delete or pause the search — see How to Pause Portal Searches (without deleting)

Alternatively, the client can unsubscribe from search alerts via the link in any search email. See Client Unsubscribed or Not Receiving Listings if this causes issues.


Brokerage-Managed Action Plans

Some post-close action plans are managed at the brokerage level (not agent-level). If you see a plan you can't remove yourself, submit a HelpScout ticket describing what's sending and to whom — the support team can remove it on the backend.


How to Unsubscribe a Client Who Doesn't Want Any Emails

If a client explicitly opts out of all communication:

  1. In FUB, open their contact record
  2. Remove all active action plans
  3. Set their email status to Unsubscribed in FUB to suppress future automated sends
  4. Delete or pause any Super Portal searches

Note: unsubscribing in FUB affects automated emails only. Emails you send manually from your own email client are not affected.
