1) 🧭 Navigation: Dashboard vs People

✅ Dashboard (Recent Activity View)

  • Clicking the Follow Up Boss icon (top left) brings you to the dashboard view.
  • This view shows recent activity and updates live (ex: “5 minutes ago” activity).

When to use: quick pulse check on engagement and activity.

✅ People Tab (Your Full Database)

  • Click People to view your database list.
  • The number shown represents your total contacts in view (can change depending on filters and High Funnel leads).

When to use: daily database management (filtering, tagging, organizing, batch actions).


2) 📋 People Page Setup: Columns, Sorting, and Filters

👓 Columns: Customize Your Database View

Click Columns (top right) to control what fields display.

You can:

  • Select which columns show
  • Drag and reorder columns (look for the “dots” drag handle)

Helpful columns (examples):

  • Tags
  • Last Communication
  • Email (Last Sent)
  • Website / Super Portal activity (ex: property viewed, last website visit)

🔃 Sorting & Quick Spot Checks

  • Click column headers to sort.
  • Sorting by Last Name A–Z can help identify potential duplicates that should be merged.

🔍 Filters (Including High Funnel “Pond” Views)

✅ Filter to Only “Your People”

If you’re seeing pond/unclaimed leads and want only assigned contacts:

  • Filters → Agents Include → [Your Name]

Note: Agents not participating in High Funnel leads may not see pond contacts unless manually added.

🌐 Website Activity (High Funnel Tip)

For agents working High Funnel leads:

  • Add Website Activity columns
  • Sort by newest activity to spot active visitors worth immediate outreach

⚠️ If Something Looks “Wrong”

If your database count seems off or contacts are missing:

  • Check for active filters
  • Refresh the page if needed (this resolved a “show only my contacts” view during class)

3) 👤 Client Profiles: Contact Info, Background vs Notes, Relationships

📇 Contact Info + Address Order

  • Phone numbers, emails, and addresses live on the left.
  • Best practice: keep mailing address first, investment properties after (reduces sync cleanup).

🏷️ Labels (Helpful for Clarity)

Add labels to fields:

  • Phone: cell / work / home
  • Address: home / investment

🧠 Background vs Notes (Where to Put Info)

🧾 Background

Use for info you want visible anytime:

  • Preferred name
  • Pronunciation notes
  • Household context

📝 Notes (Timeline)

Notes are chronological and live in the activity feed.

To view only notes:

  • Click Notes in the activity feed filter (instead of “All”)

Rule of thumb:

If you need it often → Background

If it’s a dated interaction/log → Notes

👥 Relationships + Merging

🔗 Merge Existing Person (Both already exist)

Use when two contacts exist and should be combined under one household.

Important behaviors:

  • Super Portal searches can include both people
  • Direct emails in FUB depend on which email addresses you select

➕ Add Relationship (Relationship doesn’t exist yet)

Use when the spouse/partner isn’t already in your database.


4) 🏷️ Stages & Tags

🔘 Stages (Limited Options)

Stages describe where someone is in the process and are controlled at the brokerage level.

Critical: You MUST click the ✅ green checkmark to save changes.

🏷️ Tags (Unlimited Options)

Tags can be used for anything:

  • Events: “Pies”, “Holiday Card”
  • Location: “El Paso”, “Austin”
  • Lead source: “Open House”
  • Grouping: “Investors”, etc.

🔄 Super Portal + Tags

Some tags are applied automatically based on Super Portal activity:

  • Ratings (A / A+ / B, etc.)
  • Buyer searches / seller updates / market updates

🧠 What is a Smart List?

A Smart List is a saved filter set. Anyone matching the criteria automatically appears in the list.

📂 Collections

Collections are folders that organize Smart Lists (example: BP Recommended).

⭐ A / A+ Smart List

Shows anyone with tag A or A+ (applied via Super Portal rating).

🔥 Hot / Warm / Long-Term Nurture (Communication-Based)

Built to prompt follow-up based on:

  • Stage
  • Time since last communication (ex: > 7 days)

Important: FUB automatically tracks email communication, but not texts/calls from your personal phone.

✅ If you text/call outside FUB:

  • Use Log a Call so Smart Lists stay accurate.

➕ Create Your Own Smart List (Step-by-Step)

  1. Go to All People
  2. Confirm no filters are set
  3. Apply your filters (ex: Stage = Active Hot)
  4. Click New List
  5. Name it
  6. Add an emoji (recommended)

Why emojis help: your lists visually stand out from brokerage lists.

🧩 Manage Smart Lists

Go to Manage to:

  • Reorder lists
  • Create your own collections/folders

6) 🧱 SOI Database Buildout & Audit

This collection helps you clean up your database while the Database Wizard is being finalized.

⚠️ These lists are helpful but not perfect due to sync timing and data behavior between Super Portal → FUB.

Key Lists Covered

  • Needs Rating: contacts missing a Super Portal rating (NR is acceptable early on)
  • Needs Market Update: top-rated clients without a market update tag/search
  • Needs Mailing Address: A/A+ clients missing an address (important for gifting)
  • Needs Birthdays (Imperfect): may only reflect primary contacts and can be inconsistent if deleted later

🎂 Birthday Fields (Important)

Birthdays show under Custom Fields, commonly:

  • _birthday  (primary contact)
  • _birthday_relationship  (relationships)

You can filter:

  • Is Empty → who you’re missing birthdays for
  • Is Not Empty → who has birthdays on file

7) 🧰 Bulk Actions: Mass Updates + Collaborators

From the People tab:

  1. Select contacts (make sure you select ALL results, not just visible rows)
  2. Click Mass Actions

You can:

  • Update stage
  • Add/remove tags
  • Add/remove collaborators

Quick Tip: Remove Tags Faster

Click a tag on a contact to filter everyone with that tag → then bulk remove.


8) ✉️ Batch Emailing: Merge Fields, Preview, Scheduling

✅ How to Send a Batch Email

  1. Start from All People or a Smart List
  2. Select all recipients
  3. Click the Batch Email icon (envelope)

“Include All Email Addresses”

Turn this on if you want the email sent to every email on file for a contact (not just primary).

Use merge fields so emails feel personal.

Best practice merge field:

  • %contact_rels_first_name%

This:

  • Greets the primary contact
  • Includes relationship name when applicable (ex: “Ted and Courtney”)

👀 Preview + Scheduling

  • Preview before sending
  • Schedule if needed (mornings typically perform best)
