How to Use the Tours Feature in the Portal (for showing properties)

Tutorial: How to Set Up a Property Tour in the Super Portal

This guide walks you through setting up and customizing a property tour in the Super Portal, along with tips for optimizing routes, scheduling showings, and sharing directions with clients.

1. Starting a Tour

  1. Log into the Super Portal.
  2. After discussing with your clients which properties they’d like to see, click View Results.
  3. Select each property by adding it to your Cart. The selected properties will appear in your cart summary.

2. Creating the Tour

  1. Open your Cart.
  2. Select your Client from the dropdown list.

Choose your Tour Date and Time.

  3. Click Add.

3. Optimizing the Route

  • The system will prompt you to Optimize Your Route.
    • Select Yes to let the software create the most efficient order of stops.

Next, indicate your client’s pace preference (e.g., slow, average, fast).

    • Example: Choose Sloth for clients who like to take their time.

4. Customizing the Route

  1. You’ll be shown the optimized route.
  2. If desired, manually rearrange the property order by dragging them into your preferred sequence.

    Add additional stops:

    • For example, insert a coffee shop or lunch break between property viewings by clicking Add Stop and entering the location.

5. Reviewing the Tour

  • Click Route to see estimated duration.
    • Example: 3 hours 40 minutes at slow pace.
    • If you switch pace to Average, the system will update the estimated time automatically.
  • Scroll down for step-by-step directions in a format similar to MapQuest.

6. Sharing Directions with Clients

  • Options include:
    • Print the directions.
    • Email them to clients.
    • Copy Public Link to share via text, allowing clients to forward to family members or others joining the tour.

7. Scheduling Showings

  • If the property uses ShowingTime, click Schedule and the system will handle it automatically.
  • If not, the system will display the Listing Agent’s Contact Information so you can coordinate directly.

8. Automatic Updates

One of the best features: if a property in your tour goes under contract before the scheduled date, both you and your client will receive an automatic email alert.

  • This allows you to quickly regroup and decide whether to:
    • Keep the property on the tour, or
    • Remove it and adjust your plans.

9. Final Notes

The Tours feature in the Super Portal is designed to save time, provide flexibility, and improve the client experience. You can easily:

  • Set up tours in minutes,
  • Customize routes to fit your client’s pace and preferences,
  • Add extra stops for convenience, and
  • Share professional, organized itineraries with your clients.
