Building a Targeted Agent List

Why Build This List?

Creating a list of agents who have recently sold in a specific neighborhood or area is one of the fastest ways to generate leverage when you have coming soon listings or buyer needs.

Instead of sending an email to a huge list and risking reputational damage, you can proactively reach out to the agents who are already active in the area. These are the people most likely to have buyers ready to go—or to understand the nuances of that neighborhood’s inventory.

This approach:

  • Surfaces the agents with proven activity in your target neighborhood.
  • Lets you target communication instead of spamming irrelevant contacts.
  • Creates opportunities to get your listing sold before it officially hits the market.
  • Saves you time compared to hunting down contacts one by one.

Step-by-Step Tutorial

1. Search the Neighborhood

  1. In the Super Portal, enter the neighborhood name (e.g., Circle C).

    Choose your date range. For example:

    • Closed in the past 12 months
    • Active listings
    • Under contract

This filters your search to the activity that matters.


2. View Results by Agent

  1. Click View Results.

    Hover over the tab for Selling Agent View.

    • This shows the listing agent and buyer agent names for each transaction.
    • Active listings won’t display a buyer agent (since there isn’t one yet).

3. Copy or Export Agent Emails

You’ve got two options here:

Option A – Quick Copy

  • Click Copy Agent Emails (max 150 at once).
  • Paste directly into Gmail under BCC.
  • This is the fastest way to get a working list.

Option B – Export

  • Click Export to download a full file of results.

    Open in Excel, Google Sheets, or your CRM.

    Use filters for:

    • Minimum # of homes sold
    • Agent type (buyer vs. seller)

This gives you more flexibility for larger campaigns.


4. Refine (Optional)

  • Want only active listing agents? Filter to ActiveView Results.
  • Then copy/export those emails.
  • This way you’re only targeting the agents with current listings in the neighborhood.

5. Send Your Email

  • Open Gmail (or your email platform).

    Paste all emails into the BCC field.

    Write your outreach message:

    • For coming soon listings: highlight details, photos, price, and availability.
    • For buyer needs: be specific about the criteria (beds, baths, price, must-haves).

Example Workflow in Practice

  1. Search “Circle C,” closed in past year.
  2. Export the full agent list.
  3. Sort in Excel to find the top 25 most active buyer agents.
  4. BCC them in Gmail with your coming soon listing details.
  5. Get early conversations going before your listing ever hits the open market.
