Setting Up for Spear Nurture Gifting

Getting Started

  • Create a Test Account: Great for exploring features and previewing the client experience.
  • Super Portal Access Points:
    • Widget within Follow Up Boss (FUB)
    • Full Portal via app.bramlettpartners.com

Required Setup for Automated Gifting

To automate gifting, a contact must:

  1. Be rated (e.g., A+, A, B)
  2. Have an event in the system (e.g., birthday, closing anniversary)
  3. Have a mailing address
  4. Have your gift preferences set

Once this is complete, gifts are sent automatically each year.


Adding Relationships, Ratings & Events

Ratings & Relationships

  • Assign a rating from the Super Portal widget
  • Ratings auto-apply to relationships (significant other, kids, pets)
  • A tag is also added for smart list filtering in FUB

Adding Events

  • Use the + button next to individuals for quick event creation
  • Customize messages for birthdays and anniversaries
  • Birthdays apply to individuals; home anniversaries apply to the household
  • Optionally add the year for age tracking (especially helpful for children)

Birthday vs. Home Purchase Anniversary

  • Birthday Gifts: Sent to the individual
  • Closing Anniversary Gifts: Addressed to the entire household

**Choose event type (buyer/seller); seller events rarely require gifts


Mailing Address Sync

  • First address in FUB automatically syncs as mailing address
  • No gift is sent without a valid mailing address—even if all other settings are correct

Accessing the Full Super Portal

  • Via Client Profile: Click the purple Super Portal button
  • Direct Access: app.bramlettpartners.com
  • Full portal lets you manage events, view reports, set preferences, etc.

Setting Gift Preferences

Where to Set

  • Click your name (top right) > View Profile
  • Subscribe to company defaults or set your own preferences

Company Defaults (as of now)

  • Birthdays (A+/A): Bon Vivant Birthday Box
  • Closing Anniversaries (A+/A Buyers): Tiff's Treats Mix

Creating Agent Defaults

  • Click "Add Agent Default" under each category
  • Customize gifts for each rating tier (A+, A, etc.)

Gift Vendor Overview

Vendor Notes
Austin Cakeballs Highly rated, local favorite, expensive shipping outside Austin due to ice packs
Tiff's Treats Availability varies by city; check delivery zones on their website
Bon Vivant USPS shipping, non-perishable, ideal for out-of-state clients and children’s gifts

Tip: Use Bon Vivant for universal reach and child-friendly options.


Customizing Individual Gifts

  1. Click Reports > Event
  2. Filter by agent and time range (e.g., "Next Month")
  3. Remove "No Gift" entries if needed
  4. Click on an event to manually override the gift

Use this for gluten-free clients, kids, pets, etc.


Budgeting & Reporting

  • Use Reports > Event to export CSVs by timeframe

    Filter by vendor, event type, gift recipient

    Check gift costs manually:

    • Bon Vivant includes shipping
    • Tiff's & Cakeballs have shipping charges that vary

Monthly Workflow

  • On the 10th: Agents receive an email to audit next month's gifts
  • On the 15th: Admin sends vendor reports for the next month
  • Run your audit: go to Reports > Event > Next Month > All Gifts

Adding Events via Full Super Portal

  1. Go to a client’s page > "Events" tab
  2. Click "Create Event"
  3. Choose event type (Birthday = individual, Anniversary = household)
  4. Add address tags if needed (e.g., investment, homestead)

Gifting to Out-of-Area or Investor Clients

  • Bon Vivant is ideal (non-perishable, USPS)
  • Austin Cakeballs: High shipping costs outside of Austin
  • Tiff's: Confirm local availability via their site

Managing Duplicate/Merged Client Data

  • Merged clients: Share household event visibility
  • Avoid duplication: assign home purchase anniversary to one person if unmerged
  • If merging: always merge into the profile with more data

Search & CMA Management

Duplicating Searches

  1. Go to search tab in client profile
  2. Click yellow copy icon
  3. Choose new client > rename > save

Why This Matters

  • Use if clients are not merged
  • Enables shared search logic without redoing criteria

CMA Clarification

  • Properties unselected during CMA creation still show in preview
  • Only published CMAs exclude unselected data
  • Unselected listings are not included in stats or client view

Pro Tips

  • Use monthly reports to audit gifts for accuracy (e.g., pets, duplicates)
  • Customize messages sparingly (avoid referencing specific ages unless updating yearly)
  • Keep relationship data clean—this helps prevent duplicate gifts and confusion
  • Merge carefully and plan ahead to preserve client data
