Setting Up a Market Update in Super Portal
This guide walks you through the process of setting up a Market Update—also referred to as a Seller Update—within the Super Portal widget in Follow Up Boss. Market updates are designed to keep seller clients informed on real estate activity in their area.
Step-by-Step Instructions
1. Navigate to the Client's Contact Page
- Open Follow Up Boss.
Go to the client's contact page where you want to set up the market update.
2. Locate the Super Portal Widget
- On the right-hand side of the contact page, locate the Super Portal widget.
- In the widget, select the “Searches” setup area.
Note: Avoid launching the full Super Portal for market updates—setting it up within the widget is simpler and more efficient.
Create the Market Update (Quick Seller Update)
Choose “Quick Seller Update” as the search type.
4. Name the Search
- Use the property address as the search name (e.g.,
6001 Bull Creek Road
). This name appears in the client’s email:
"Here is your market update for 6001 Bull Creek Road."
Naming by address helps distinguish multiple updates for clients with more than one property.
5. Enter Required Search Criteria
- You must fill in the following three fields:
- Zip Code
- Enter the property's zip code.
- Elementary School
- If unknown, search the property address on Zillow and locate the associated school.
- Begin typing the school's name until it appears.
- Property Subtype
- Most commonly: Single Family Residence
Adjust based on your client’s property type.
6. Set Email Frequency
- Choose how often the client should receive updates:
- Daily (Recommended)
- Weekly
- Bi-weekly
- Monthly
Select the frequency that best suits the client’s needs.
7. Save and Confirm
- Click “Create” to save the market update.
A confirmation message will appear:
"A market update has been saved successfully."
Setting Up a Buyer's Search in the Super Portal
Setting up a buyer search in the Super Portal differs slightly from creating a market update. Unlike market updates, buyer searches typically require more detailed criteria, so it’s recommended to use the full Super Portal interface rather than just the widget.
Step-by-Step Instructions
1. Access the Super Portal
- Go to the client’s contact page in Follow Up Boss.
- Locate the Super Portal widget and click the purple button to launch the full portal.
- This will take you to the client’s Super Portal page.
2. Navigate to Search Creation
From the top navigation, click “Searches”.
Choose to either:
- Click “Advanced” > “Buyer Search”, or
- Select an existing search to modify.
This opens the buyer search builder where you can input your client's criteria.
3. Enter Search Criteria
- Begin building the search based on your client’s preferences.
Examples:
- Maximum Price: e.g., $400,000
Zip Code: e.g., 78745
(As you enter criteria, the number of matching properties will update in real time.)
- Additional Filters: Bedrooms, bathrooms, home size, etc.
You can continue adding more filters to refine the search.
4. Use the Map to Customize the Search Area
- Click “View Map” to see listings visually.
- Click “Enter Full Screen” to expand the map.
- Use the polygon drawing tool to define a custom area if your client prefers specific neighborhoods or proximity to highways, for example.
Example: Draw a polygon to exclude central zones and highlight areas near major roads for easier commuting.
Once done, exit full screen. The map will now reflect your selected area and show a reduced set of properties based on your polygon.
5. Finalize and Save the Search
Name the Search
- Use a descriptive name based on the filters applied (e.g., “Sam – 78745 under $400k”).
- This helps keep multiple searches organized and easy to identify.
Save the Search
- Click “Create Search.”
- Toggle “CC Agent” if you’d like to receive copies of the search result emails your client receives.
We recommend leaving the CC Agent toggle ON so you're immediately notified when emails go out.
Commenting on and Suggesting Properties in a Search
You have the ability to suggest properties to your clients. You and your client also have the ability to comment back and forth within a property.
Step-by-Step Instructions
1. Access the Client's Search
- Navigate to the client's contact page in Follow Up Boss.
- Go to the Super Portal widget.
Locate the search you’ve previously set up and click “View.”
2. Suggest Properties
Once inside the search, available properties will populate based on the criteria set.
To recommend a property:
- Select the property you'd like to suggest.
- Use the “Suggest” feature to notify the client.
Note: Suggested properties will be highlighted to the client, drawing their attention to specific listings you believe are a good fit.
3. Add Comments on a Property
- You can also leave comments on individual properties to personalize your recommendation.
Example comment:
“Check this property out! I think it has exactly what you’re looking for. Let me know if you’re interested in viewing it.”
Once posted, your comment will appear on that property for the client to see.
4. Client Interaction
- Clients can reply directly to your comments.
- This enables a conversation thread about a specific property within the search, improving collaboration and clarity.
