Send Marketing / Stats Newsletters

Sending these newsletters is tedious, but incredibly important that it's done perfectly. If we mess up a step, there are big consequences since we're sending these on behalf of the agents. Scroll to the bottom of this page for a checklist prior to sending.

Geographic Markets:

Currently we deal in two metro areas
  • Austin Metro - This is the default market. Unless noted otherwise, send the Austin Metro.
  • Waco Metro - We currently have 2 teams in the Waco market. "Pecan Creek Realty" and "Waco BP Agents".
Critical: Never send the wrong geographic newsletter to the wrong team. This is disastrous.

Step 1 - Email the agents and let them know you'll send the newsletter (2 days in advance)

Eric will send you an email with the copy and oftentimes branded infographics (sometimes we're waiting on the infographics). Send the following. The link to the newsletter will be the Google Doc public link. Here's an example. Send this to:


Note: Since Eric almost always completes Step 1, there’s no need to send the newsletter email to any group for review once he has delivered it. We’ll share the branded graphics with the teams as follows:
  • For teams whose newsletters we schedule, the graphics will be sent after the newsletter goes out.
  • For teams whose newsletters we don’t schedule, the graphics will be sent as soon as we receive them.

Please let me know by EOD tomorrow if you do not want this sent on your behalf.

A few reminders:
  • A primary goal is to send these statistics 1-2 weeks before any competitor, so editing is somewhat limited.
  • This has been edited for grammar and voice, but we may make some improvements.
  • We will likely swap some of the infographics here with branded infographics. We'll send you those branded infographics to share on social media when we do that.
  • This has been processed through Grammarly. If you see any grammatical errors it missed, please email me directly.
  • These always have incredibly strong results - we more than triple the industry open rate with an unsubscribe rate that's near 0%.

Step 2 - Cross reference Tettra to see which teams get branded / separate newsletters

For Austin Metro Newsletter
  1. Bramlett Agents ( We have 5 email batches for Bramlett)
  2. Dochen Realty Group
  3. Berbas Group( Newsletter suspended/ will only send branded graphics till further notice)
  4. (Eric's own branded newsletter that he handles - large agent audience there)
  5. Roeder Group ( We only need to send branded graphics)

For Waco Metro Newsletter

7. Waco BP Agents (Bramlett branded)


Step 3 - Send 3 separate emails to the groups that get branded newsletters.

Send the following email and insert links to the correct infographics to each. One email for each different brand. agents@bramres.com for Bramlett, team@dochen for Dochen, etc...

Step 4 - Send out the Bramlett Agents newsletter and pay attention to image sizing


Important Notes and steps:
*Scroll to the bottom for a checklist*

8. You have to spend time using "paste and match styles (paste as plain text - ctrl+shift+v in Windows)" and then insert the styles + links into the FUB newsletter tool. If you simply paste in, it will break the styles.

9. You have to upload the images to the tool, rather than pasting them in. It will look completely awful if you don't.

10. Even if it looks okay on the FUB preview without doing #1 and #2, it will look awful when sent.

12. Resize images from any website like this -> https://imageresizer.com/ Notes here:

    1. Main stats - 500px wide
    2. Rectangular designed stats - 900px wide ( Reduce all images size by 30% other than main stats)

Checklist of Potential Errors

14. Did you use the correct merge tag for the salutation? It should say something like "Hi %contact_rels_first_name% -" with the correct first name merge tag: %contact_rels_first_name%

15. Did you use "paste and match styles" for all of the content and then add the styles in the FUB editor?

16. Did you upload all of the images in the FUB editor? (Not paste them in.)

17. Are you sending the correctly branded images to the correct team? (Bramlett to Bramlett Agents, Berbas to Berbas Group, etc...)

18. Did you modify any links that may need to be modified? Common link would be the "Click Here for Market Updates" link.

19. Nitpicky Details

    4. Make sure to set the timezone in FUB to Central Time (GMT-05:00). Otherwise your scheduled email won't go according to US timings. This can be done from profile settings.

20. Send a test batch email to yourself and proof it there. When you've decided it looks good, go ahead and forward it to Eric (don't wait for Eric's approval) and set up the sends. Here's how to run a test batch email to yourself: https://www.loom.com/share/21e5837002fc4534907be4e219cea0ce

21. Set everything up for 8AM the following morning.

22. When Eric see the test batch email come through from you, he will know that you've thoroughly tested and the emails will be set up for the following morning at 8am. Eric have the ability to cancel those if something is wrong.

23. Are you concerned about anything else? Ping Bilal/Eric if so!

24, We are not sending newsletter to Berbas till further notice, we will only forward them the branded graphics.


More Notes:

  • Pecan Creek Realty Group is a high performing team in Waco, similar to Dochen or Berbas. They have their own branding. They will have their own newsletters.
  • "Waco BP Agents" are Bramlett Partners agents in Waco. They will have their own newsletters.
