Confirm Vendor Happy Hours

We hold quarterly Happy Hours and they are always sponsored by one of our preferred vendors. Details can be found on this spreadsheet and they are also on the BramRes Office Calendar.

When: One month prior to the Happy Hour, send the following email to the Sponsor and BCC lexie@bramlettresidential.com.

Process:

  • On the first Monday of January, April, July, and September look at the following month's scheduled Happy Hour. Schedule send an email for one month before it occurs (if it's taking place on February 15th, send your email on January 15th). Use the below email template to the Happy Hour sponsor and include lexie@bramlettresidential.com in BCC.
    • If sponsor asks you to share any marketing materials with the agents (for example, a virtual flyer) please loop in lexie@bramlettresidential.com for assistance.
    • If sponsor responds to your email asking for a headcount, check the BramRes Office Calendar event to see how many have responded "yes" to the event.

  • Once sponsor confirms location, please update Lexie and add location to calendar event
    • Add it to the location line within the calendar event
    • Add it in the description of the calendar event using the following template: "Join us for happy hour at (LOCATION), sponsored by (SPONSOR NAME)!"
    • Do not send updated calendar invite to agents (when saving it)

Email Template

SUBJECT: Bramlett Happy Hour (Date)
Hi (sponsor's name),

I hope you are doing well! I'm an assistant with Bramlett and wanted to confirm you are still sponsoring our upcoming Happy Hour on (DATE). You can expect there to be 20-30 agents in attendance. We are happy to notify you about the agent count a few days before the Happy Hour if that would be helpful.

You're welcome to host this wherever you'd like, but the following are options that have worked well in the past. We send these over to be helpful.

  • Austin Beerworks: (info@austinbeerworks.com)
    • They ask that they have at least a 48-hour notice. They have about 30 assigned parking spots but plenty of street parking. They have two table reservation options. Their indoor table reservations are $50.  Each indoor table can seat up to 14-16 people. Their outdoor tables are located in the lower graveled areas and are 2 for $50. Each outdoor table can seat up to 8 people. You can reserve the tables for up to three hours.
  • Brewtorium: (carolyn@thebrewtorium.com & events@thebrewtorium.com)
    • They accept reservations in the main beer hall and beer garden up until 7pm Tuesdays-Thursdays (until 4 pm on Fridays and Saturdays, and all day Sundays). Giving them a week's notice is ideal (since they can only accept so many reservations per day), but they can usually accommodate reservations with just a couple of days' notice! If you prefer a private space, you could reserve their event space for $100/hour + tax + gratuity-- since this is just a room rental, our party would order all food and drinks from the bar. If you'd like catering for our group, you could reserve the private event room for  $100/hour (for 3 hours minimum) + $25/person food and beverage minimum + tax + gratuity.  This option includes a private bartender to take drink orders for our group. They ask that the whole party remain on one tab until the minimum is met.
  • Pinthouse: (stephanie@pinthouse.com)
    • They can take a reservation as late as the day before but would recommend a week in advance as the reservations are limited. They have several large tables on their outdoor covered patio that can seat 10-12 people per table and they can reserve three for a group this size. They have a large parking lot with over 100 parking spaces. You would be able to open a tab at the bar if you would be hosting food and beverages or guests can all order on their own tabs.
  • Easy Tiger: (info@easytigerusa.com)
    • For all parties over 20 they require at the very least a 5-day notice. They also require a $5 per person deposit that will get applied to your final bill, along with the $30 per person food and beverage minimum. There is no rental fee just an f&b. Most of their events are for 2-3 hrs. As for the parking they have plenty of parking and after 5 pm the bank next to them lets them utilize their parking as well.
  • District Kitchen + Cocktails (Anderson Lane location):
    • They are typically able to reserve the outside covered patio with a few days notice. I would give them a call at 512-284-7837 to request the space for ~20 people.

These are just suggestions to hopefully make things easier and we're 100% open to any other venues you like.

Can you please confirm and let me know where you are planning to host this? (If it's a venue with multiple locations, please specify which one.) We will then update our calendar invite and get the news out to the agents.
