Lease Payment Process

Check mail on Monday and process all checks then as well as checking Keystone Bank Account

  1. Sort through checks into different categories of who the check is from; Title Company, Brokerage, and other sender
  2. Open RealScale and go to "view/search transactions" then go to "all"
  3. Search by the property address in the memo
  4. Once you find a match with the property address and commission amount into RS transaction change status to "payment received".
  5. Then in the notes put "payment received with date" and who is going to be paid and the date as well as method

INCOMING COMMISSION CHECK FROM TITLE

  • Once you find a match with the property address and commission amount into RS transaction change status to "payment received".
  • Take the stack of checks and process them ONE AT A TIME in the remote check depositor. Make sure to select Bramlett 8373 account when depositing these checks and deposit one at a time.
  • Then go into RS > Company > Users > search the agents name and scroll down to see how they accept payment. They will either want ACH or an Echeck. To pay them with ACH log in to Keystone Bank. To pay them with an Echeck log in to Deluxe Payment.
  • When paying the agent use the same name in RealScale that they have "payable to" and make sure to copy and paste this info as well as routing number and account number so you don't make any mistakes. Also make sure that you are copy and pasting the commission amount in RS.
  • When paying an agent their commission add a note in RS, for example "$2,389.50 paid via ACH to "Agents Name" on xx/xx/xxxx(the date) and include the confirmation number. If you are paying via E check do the same thing and add the check number "VV061"
  • Check to see if there are any "outside office payees" if there are there should be some type of document in RS in the report that has the amount and form of payment. If you are ACH, Echeck, or even paper check sending the payment you must document this in Real Scale like explained above.

  • Once you find a match with the property address and commission amount into RS transaction change status to "payment received".

CHECKING INCOMING ACH PAYMENTS
  • Once already in Keystone go to "Accounts" then "Account List" "xxx8373" then select "YTD" in Transaction Dates.
  • Go through the past week and look out for incoming payments from Zelle, other brokerages, or other individuals. Do some investigating in RealScale/Gmail to figure out what property the payment is associated with and then proceed with pervious processes.
Things to look out for:
  • If the transaction is not a DA meaning it is "listing" or "closing report" you must audit the document using the Compliance Process, Marketing Verification Process, and Contact Verification/Split Process.
  • Tenant's agents commission is ALWAYS "before split"
  • If lease is a "personal transaction" then the agents split is 100%
