Daily Morning Outreach

  • “First part of the day” is to check RS for new contracts you should text to congratulate an agent on and to check Facebook to see who has birthdays and you should text.

Daily/Weekly Emails / Calls

  • Cross referencing the Agent Outreach spreadsheet, make sure you have had contact with each agent based on the "outreach frequency"
  • Agents with "Bad" or "Meh" temps will naturally be followed up with frequently. If you notice you are not naturally engaging with them (they call for questions, they are on a PIP, etc), make notes to reach out based on the appropriate frequency (but likely reach out more than that until you feel the temp has shifted to either "good" or "amazing").
  • Make sure to stay on top of adjusting the spreadsheet to reflect the outreach frequency and agent temp based on your interactions.
  • Based on the engagement from monthly/quarterly follow up, you'll know who you want to have coffee/lunch with. Send a personalized email to schedule a coffee/lunch to catch up.

IRL Meetings

  • These will flow very similarly to the phone calls. Don't be afraid to bring a notepad and a print out of your questions (and notes about their goals.) When people show up prepared, it's always much appreciated.
  • We want to try to meet with every agent at least once/year. Some agents won't ever want to meet in person, and that's okay.
  • Don't feel weird or intimidated to meet with some of our veteran agents (Tara, Lauren, Will, etc...) This is your job and they will appreciate meeting with you. They might feel comfortable telling you things they wouldn't feel comfortable telling me.
  • Make sure to add notes to each agent's "file" after you're done!

Topics To Discuss On Calls/IRL Meetings

  • How is business? What things are you implementing in your business?
  • Anything we can help with to provide support?
  • Feedback on things the brokerage is doing that you notice they utilize (ARER, SOI program, Client Portal, etc)
  • How are personal goals going?
  • What is some fun stuff they have coming up?
